A small consulting practice rarely needs an enormous platform. It needs an easier way to get from review to follow-up to a report someone will use-without inventing a second job in the process.
Start with the pain that is costing the most attention today: duplicate documentation, inconsistent reports, vacation coverage, manual follow-up, data entry, or the scramble to turn clinical work into a billable invoice. The product choice should answer that specific problem.

A per-user number tells you very little without a view of the real work it includes. A simple product with clean output may be better than a huge platform you have to administer yourself.
2. The coverage test
Have a second pharmacist take over a facility for a week. Can they see context, work in progress, and report conventions without phone calls and hidden spreadsheets?
3. The data-entry truth
Do not accept “independent from a dispensing system” or “integrates” as an answer. Find out whether data is typed, imported, converted, or received from a live source-and who owns each step.
4. The money trail
If you bill clients for time or activities, show how a completed review becomes a time record, invoice, or export. If you do not need that, do not pay for it just because it is on a feature list.

A simple decision rule
If the data or governance is hard, use the larger-organization path.
A two-person firm can still need a formal integration, a migration plan, multi-facility reporting, security evidence, and defined access controls. In that situation, buyer requirements matter more than the number of people on payroll.
